Six things that actually matter when comparing UK accounting software — beyond the marketing fluff.
Choosing accounting software is a long-term decision. The right platform pays back hours every week and keeps your books clean; the wrong one creates frustration that lasts years. After working with thousands of UK SMEs, we’ve seen the six factors that consistently separate good choices from bad ones.
1. UK-specific or global?
UK-built accounting software bakes in VAT schemes, CIS for contractors, and Companies House conventions. Global tools often require add-ons or workarounds. If 95% of your invoicing is in GBP and you’re VAT registered, default to UK-native.
2. Bank feeds & reconciliation
Open Banking feeds are now standard, but quality varies. Look for daily refresh, multi-bank support, rules-based auto-categorisation, and a reconciliation screen that’s pleasant to use day after day. This single feature saves more time than any other.
3. Real, included invoicing
Most bookkeeping software bills invoicing as a premium feature. Don’t pay extra for the basics — branded invoice templates, recurring invoices, online payments and reminders should come with the base plan.
4. Reports you’ll actually use
P&L and Balance Sheet are table stakes. The reports that move the needle for SMEs are cash flow forecasts, aged debtors, customer profitability and project margin. Demand depth here.
5. A migration that takes hours, not weeks
Ask whether the vendor includes free migration. A specialist who handles your move from Xero, QuickBooks, Sage or FreeAgent should be standard, not an upsell. Most clean migrations complete within 48 hours.
6. Honest pricing
Watch for tiered limits that quietly cap invoice volume, bank connections, or users. A £9/month plan that locks you out at 50 invoices is more expensive than a £19 plan with no limits. Read the comparison page, not just the headline.
Bookkeeping software is infrastructure. Pick the platform that disappears into your day — that’s the one with the right feature set.
