Who we are
This website is run by SWIFT CATALYST LTD, registered in England and Wales (Company No. 17130521) with VAT number 517276581. SwiftBooks Pro is a trading name of that company. We are the data controller of personal data processed via this website and the SwiftBooks Pro login.
What we collect
Account data — name, email, password (hashed), business details when you create an account.
Business data — the books, invoices, bills, expenses, bank transactions and reports you input or import.
Technical data — IP address, browser type, device info, time-stamped usage logs for security and product analytics.
Communications — emails, support tickets, contact-form submissions, in-app chat messages.

Lawful basis
We rely on the following lawful bases under UK GDPR:
- Contract — to deliver the SwiftBooks Pro service you've signed up for.
- Legitimate interests — for product analytics, security monitoring and service improvement.
- Consent — for marketing communications and non-essential cookies.
- Legal obligation — to retain records as required by UK accounting and tax law.
Who we share data with
Tax filing — this login does not file VAT, ITSA, CT600 or Companies House accounts. Other products from SWIFT CATALYST LTD may exist for tax filing; they use different logins.
Payment providers — Stripe and PayPal on every plan; GoCardless Direct Debit on Business and above. Card numbers sit with those providers.
Your accountant or agent — only if you invite them in Users with their own login.
We never sell your data. Ever.
How long we keep it
Active accounts — for as long as your account is active.
Cancelled accounts — 7 years post-cancellation to comply with UK accounting record-keeping rules (HMRC + Companies Act), then deleted.
Marketing data — until you unsubscribe.
Usage logs — IP, browser and time-stamped activity we keep to run and secure the service while the account is active.
Your rights
Under UK GDPR you have the right to:
- Access your data (CSV export, API export, or by request)
- Correct inaccurate data
- Erase your data (subject to legal retention obligations)
- Restrict or object to processing
- Data portability — CSV from invoices, bills and expenses, and API export. Ask us for a copy of your personal data
- Lodge a complaint with the ICO

Security
HTTPS in the browser. Passwords are hashed. You invite colleagues in Users — Solo two logins, Business and above unlimited with no per-seat fee. Card numbers sit with Stripe, PayPal and (on Business+) GoCardless. Bank lines come from a CSV you export. Full picture on the security page.
Changes to this policy
We'll email registered users at least 30 days before any material change.
